About the position

The Administrative Assistant for Human Resources, Talent Management at the Port of Seattle provides essential administrative support to the Talent Acquisition, Talent Connections, and Talent Development & Diversity teams. This role involves managing office functions, maintaining documentation, handling budget tasks, and coordinating events, all while ensuring a commitment to equity and collaboration within the organization.

Responsibilities

  • Perform administrative support functions for Talent Acquisition, Talent Connections, and Talent Development & Diversity teams.
  • Maintain the Microsoft SharePoint site and update Talent Management process documentation.
  • Provide recommendations for administrative processes and systems improvements.
  • Handle budget and accounting tasks, including processing invoices and monitoring budgets.
  • Plan and support training and recognition events, including logistics for Port-wide and Employee Resource Group activities.
  • Manage general calendar scheduling for programs, staff, and external stakeholders.
  • Coordinate travel arrangements and process related expense claims/reports.
  • Serve as Corporate Purchase Card (P-Card) user for purchasing and reconciling receipts and invoices.
  • Provide complex editing and contracting support by proofreading documents and preparing invoices for payment.
  • Assist with document and template creation, including editing and formatting.
  • Support onboarding and offboarding of personnel per Port policies.
  • Track and report on progress of participants in the Tuition Reimbursement Program.

Requirements

  • Two years of experience providing administrative support to department leaders or teams.
  • Advanced knowledge of Microsoft Office Suite applications.
  • Excellent written, verbal, and active listening skills.
  • Strong attention to detail and ability to work independently.
  • Effective time management and organizational skills.

Nice-to-haves

  • Experience with budget management and financial reporting.
  • Knowledge of equity and diversity practices in the workplace.
