About the position

The position oversees all Front Desk staff and requires strong communication, telephone, and customer service skills. The individual must be detail-oriented, able to multitask, and work independently without direct supervision. Responsibilities include greeting residents, checking guests and service providers in and out, understanding emergency response procedures, monitoring electronic security systems, and maintaining daily logs and records.

Responsibilities

  • Oversees and schedules all Front Desk staff for the building.
  • Maintains schedules and timesheets/cards for payroll purposes.
  • Keeps track of activity logs and incident reports for the Manager's review.
  • Works closely with the Front Desk Coordinator and assists in filling shifts when needed.
  • Provides training for all new hires assigned to the property.
  • Forwards vacation and day off requests to the Front Desk Coordinator for approval.
  • Assists in investigations and tape/log reviews for any unusual incidents.
  • Helps the Property Manager with special requests, such as administrative work and mailings.
  • Demonstrates excellent customer service, communication, and time management skills.
  • Monitors the Emergency Response System.
  • Greets and directs residents, guests, and invitees.
  • Monitors and controls Electronic Security Control Systems.
  • Responds to emergency situations in a timely and efficient manner.
  • Monitors and controls access to the building.
  • Maintains daily logs, records, and forms.
  • Resolves and follows up on all complaints/issues.
  • Maintains a safe and secure environment throughout the building/property(s).
  • May be assigned other duties by the on-site property manager.
  • Follows safety procedures and maintains a safe work environment.

Requirements

  • High school diploma or equivalency preferred; college-level courses in business or hospitality preferred.
  • Two (2) to three (3) years of business experience preferred.
  • Command of information system hardware/software is preferred.
  • Effective written and verbal communication skills.
  • Multiple language fluency is desirable.
  • Strong customer service, communication, and interpersonal skills required.
  • Ability to navigate the property/building quickly and easily as required to meet job functions.
  • Ability to work extended hours and weekends based on project requirements.
  • Ability to respond to emergencies and callouts in a timely manner.

Nice-to-haves

  • Experience in hospitality or customer service roles.
  • Knowledge of security systems and emergency response procedures.
