About the position

The Administrative Assistant, Executive at Emory Healthcare plays a crucial role in supporting executives by managing their schedules, communications, and administrative tasks. This position requires a high level of organization, discretion, and the ability to handle multiple responsibilities efficiently. The role is integral to ensuring smooth operations within the executive office and involves interaction with various stakeholders, both internal and external.

Responsibilities

  • Answer executive's telephones, screen calls, and take messages or refer callers to appropriate staff members.
  • Greet visitors courteously, establish their needs, and refer them to the appropriate staff.
  • Establish procedures for organizing and maintaining departmental files.
  • Retrieve information upon request for internal and external use.
  • Arrange and schedule appointments, meetings, and travel for executives, prioritizing requests.
  • Prepare expense reports and assist executives in daily activities.
  • Schedule and coordinate meetings and special events, reserving facilities and arranging for equipment.
  • Develop agendas and arrange seating for meetings.
  • Independently respond to routine matters and compose responses for executive's signature.
  • Review outgoing mail for consistency with policies and procedures.
  • Prepare charts and graphs for reports and presentations.
  • Gather, review, verify, and consolidate data for budget preparation and monitoring.
  • Design and generate reports and statistics after analyzing data.
  • Authorize expenditure of unit/department funds and make recommendations for equipment purchases.
  • May supervise or direct the work of clerical or secretarial staff, including distributing work assignments and training employees.

Requirements

  • A Bachelor's Degree in business administration, communications, or a related field.
  • Three (3) years of office administration or senior secretarial experience, or seven (7) years of related experience in lieu of a Bachelor's Degree.
  • Previous experience with various personal computer software applications.
  • Ability to type or keyboard 60 accurate words per minute.
