About The Position

This position provides managerial support to the department chair on fiscal and administrative issues within the College of Tropical Agriculture and Human Resilience (CTAHR), Family and Consumer Sciences (FCS) department at the University of Hawaii at Manoa. The role involves collecting, coordinating, and communicating fiscal processing information and deadlines, acting as a liaison between various university and affiliated financial offices. Additionally, it supports grant proposal preparation, maintains budget account information, monitors fiscal reports, and assists in financial planning for contracts, grants, and departmental operating accounts. The specialist will also help resolve fiscal and administrative problems, collect data for reports, assign work to technical personnel and student help, and perform other assigned duties.

Requirements

  • Possession of a baccalaureate degree in business, accounting, or related field and 1 year(s) of progressively responsible professional experience with responsibilities for business administration; or any equivalent combination of education and/or professional work experience.
  • Functional knowledge of principles, practices and techniques in business and/or fiscal management.
  • Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with business management.
  • Demonstrated ability to recognize problems, identify possible causes and resolve the full range of problems that may commonly occur in departmental administration.
  • Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively.
  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
  • Demonstrated ability to operate a personal computer and apply word processing software.
  • Ability to facilitate interdisciplinary teams in developing budget for proposals.
  • Strong organizational skills and ability to recommend, develop and implement fiscal organization and management.

Responsibilities

  • Provides managerial support to department chair on fiscal and administrative issues.
  • Collects, coordinates, and communicates fiscal processing information and critical deadlines.
  • Serves as fiscal communication link for CTAHR, CTAHR Fiscal Office, UHF, and RCUH.
  • Provides administrative support in the review and preparation of grant proposals and modifications.
  • Maintains budget account information in accordance with established requirements.
  • Monitors fiscal reports and provides feedback to assist in fiscal and administrative management.
  • Prepares short- and long-term financial plans relating to contracts and grants and department operating accounts.
  • Assists department chair and CTAHR Fiscal Office by seeking information and solutions to resolve fiscal and administrative problems.
  • Collects statistical data to prepare various administrative reports.
  • Provides work assignments to technical personnel and student help.
  • Performs other duties as assigned.
