About the position

The Accounts Payables Clerk is responsible for the timely review and processing of invoices and purchase orders within the accounts payable department. This role involves maintaining accurate financial records, ensuring proper documentation and approvals, and collaborating with team members to meet deadlines.

Responsibilities

  • Review invoices and purchase orders for appropriate documentation and approval prior to payment.
  • Ensure accurate and timely payment of invoices, credit memos, debit notes, and employee reimbursements.
  • Maintain financial records pertaining to payments and ensure correct General Ledger Coding.
  • Audit vendor invoices for accuracy, such as pricing and quantities, and resolve billing discrepancies.
  • Issue supplier payments by check or electronic fund transfer (EFT) upon approval.
  • Maintain accounts payable/purchase order reports, spreadsheets, and files.
  • Review invoice distribution and perform reclassification if needed.
  • Run and review aging reports and hold payments as necessary.
  • Reconcile credit card statements.
  • Maintain reports in spreadsheet format, including Fuel Reports, Meter Reports, and Telephone Expense Reports.
  • Collaborate with Project Managers to resolve discrepancies between purchase orders and invoices.
  • Work closely with the team to meet weekly and month-end closing deadlines.
  • File and keep files in an orderly manner.
  • Assist within the department on projects and tasks as necessary.

Requirements

  • Proven accounting experience, preferably as an Accounts Payable Clerk.
  • Familiarity with bookkeeping and basic accounting procedures.
  • Competency in MS Office, databases, and accounting software.
  • Hands-on experience with spreadsheets and financial reports.
  • Accuracy and attention to detail.
  • Aptitude for numbers.
  • Ability to perform filing and record-keeping tasks.
  • Data entry and word processing skills.
  • Well organized.
  • Able to communicate effectively in both English and Spanish.
  • Minimum of 2-3 years previous experience.

Nice-to-haves

  • Associate's degree or relevant certification is a plus.
  • Ability to multi-task and meet deadlines.
