About the position

The Accounts Payable Specialist provides a wide range of accounts payable functions including processing, recording, tracking, and reconciling invoices. This role involves processing bi-weekly payments for various payment types such as check payments, ACH, and virtual credit cards. The specialist works with both internal and external contacts to resolve discrepancies with invoices and payments efficiently and in a timely manner.

Responsibilities

• Verifying the accuracy and validity of invoices, check requests, and credit memos received.
• Processing all invoices and credit memos, ensuring accurate coding and efficient processing.
• Investigating and resolving issues associated with processing invoices and payments.
• Researching, addressing, and communicating findings of inquiries from internal departments and external vendors.
• Reconciling vendor statements and resolving outstanding discrepancies, including root cause identification.
• Assisting with researching and resolving payment issues such as returned ACH payments and positive pay exceptions.
• Maintaining current and accurate records related to accounts payable, including master vendor information.
• Monitoring vendor debit balances.
• Maintaining and following accounting and AP procedures in compliance with internal controls.
• Collaborating with procurement and other departments to resolve discrepancies.
• Processing company purchasing cards.
• Assisting with form 1099s reporting and filing project.
• Assisting with year-end audit.
• Performing related duties as assigned.

Requirements

• High school diploma or GED; Associate degree in accounting preferred or equivalent combination of education and training.
• Two years of accounts payable processing experience, preferably in a high-volume organization.
