About the position

The Accounts Payable Specialist will provide essential financial, administrative, and clerical support to Ice Miller LLP by efficiently maintaining and processing accounts payable transactions. This role requires the ability to work independently and collaboratively in a fast-paced environment while ensuring confidentiality and adhering to time-sensitive deadlines.

Responsibilities

  • Respond to all vendor and internal inquiries, researching to resolve concerns or discrepancies.
  • Analyze and process non-billable and billable vendor requests for accuracy and compliance through ChromeRiver or other firm software.
  • Review documentation in support of expenditures, including verifying receipts.
  • Schedule and process payments via check, wire, indirect/direct ACH, or Emburse, including uploading files and resolving errors.
  • Monitor and follow up on stale checks.
  • Reconcile credit cards issued through integrated payables.
  • Prepare data for annual 1099 reporting, including verification of vendor setup.
  • Assist with updating/mapping 3rd party integration software.
  • Research and reconcile vendor statements to open accounts payable invoices.
  • Process all Foreign Associate invoices and work with 3rd party vendor issuing payment.
  • Support front-end users with Accounts Payable software.
  • Assist with other department activities as needed.

Requirements

  • Associates degree in Accounting or equivalent related work experience required.
  • 3-5 years of recent accounts payable experience is required.
  • Previous experience successfully managing accounting projects.
  • Ability to process and organize data and other information to develop effective solutions.
  • Strong understanding of general Accounting principles.
  • Previous experience in the legal industry is a plus.
  • Excellent interpersonal skills necessary to deal courteously and effectively with a diverse group of people.
  • Proficient in Microsoft Office products.
  • Ability to multi-task and effectively manage time.
  • Must have strong attention to detail.
  • Ability to work in a fast-paced environment and adapt to ever-changing priorities.
  • Must be able to perform all essential duties.
  • Candidates must have permanent authorization to work in the United States.

Nice-to-haves

  • Previous experience in the legal industry is a plus.
