About the position

The Accounts Payable Rep Lead is responsible for processing invoices for payment in a timely manner according to departmental policies and procedures. This role involves effective communication with vendors and internal staff, ensuring compliance with regulations, and serving as a resource for training and support within the Accounts Payable department.

Responsibilities

  • Process invoices for payment in a timely manner according to department policies.
  • Ensure all incoming mail is processed daily.
  • Develop skills in using the Accounts Payable IS System module.
  • Communicate effectively with vendors and other staff.
  • Establish rapport between Accounts Payable and Materials Management.
  • Serve in a lead customer service role for Accounts Payable.
  • Act as a resource for staff questions and training.
  • Verify invoices and check requests for appropriate authorization and documentation.
  • Process invoices within three business days of receipt.
  • Review travel reimbursements for proper authorization and documentation.
  • Maintain a file for open invoices and ensure interfiling in alpha order.
  • Ensure accuracy in setting up new vendors and processing payments.
  • Open, sort, and deliver incoming mail to AP processors in a timely manner.
  • Input information into the system for payment and review for accuracy.
  • Batch invoices and create batch numbers for processing.
  • Communicate with vendors and staff in a timely manner.
  • Resolve Purchase Order and Receiver problems promptly.
  • Stay current with federal, state, and company rules and regulations.
  • Assist AP Manager with staff training and act as a resource for questions.
  • Monitor the system to ensure timely processing of invoices.
  • Troubleshoot vendor credit hold issues and suggest process improvements.

Requirements

  • High school diploma or GED.
  • Three years of experience in a related area.
  • Excellent verbal and written communication skills.
  • Computer literacy and strong customer service skills.
