About the position

Scottsdale Arts was established in 1987 as a private, nonprofit 501(c)(3) and has evolved into an organization with six dynamic operating departments that span the visual and performing arts, arts education and cultural engagement. Through its six departments, Scottsdale Arts offers diverse, high-quality arts experiences to hundreds of thousands of Scottsdale residents and visitors annually in addition to fostering the active engagement of government, business, education, and the private sector in the arts. The Accounts Payable Coordinator will be responsible for all A/P functions, ensuring bills are paid promptly, and balancing the books with precision.

Responsibilities

  • Responsible for all A/P functions, including development, education, box office, and general funds.
  • Verify all invoices received from staff for proper accounting codes, approvals and enters all invoices into the A/P system.
  • Prepares weekly cash disbursements in the form of checks, efts, bank drafts, and wire transfers.
  • Maintains Prepaid Expense Schedule and prepares monthly journal entries to record activity.
  • Processes annual 1099 forms for all vendors and timely remittance to the IRS.
  • Reconciles all uncashed checks annually and reports unclaimed property to Arizona in a timely manner.
  • Reconciliation of all liability accounts in the general ledger.
  • Educate SA staff on Accounts Payables process for timely posting of expenses.
  • Maintain and update A/P payment forms and reimbursement forms to align with federal guidelines.
  • Provide support for and including backup for SA staff questions.
  • Make reconciliations of vendor statements, research and make corrections of discrepancies.
  • Respond to vendor inquiries.
  • Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices.
  • Manage, maintain, and reconcile staff accounts on the Wells Fargo Visa credit card statement monthly.
  • Maintain and reconcile all shared store accounts for the organization, including Lowes, Home Depot, Staples, and Amazon.
  • Manage and reconcile postage accounts for on-site postage machines and off-site bulk USPS accounts.
  • Enters all artist/performer contracts and other documentation in the A/P system.
  • Assists the CFO with audit schedules and answering audit questions during the annual external audit.
  • Assist the accounting department with various annual events as assigned.

Requirements

  • Bachelor's degree in Accounting or related field preferred, AA with 2 year's experience or high school (or equivalent) with 5 years experience.
  • Minimum 1 year of accounting experience, preferably in a non-profit setting.
  • Must be detail oriented, possess high degree of integrity and ability to hold oneself accountable.
  • Strong organizational and time management skills.
  • Strong problem solving skills, basic accounting principles knowledge, ability to document clearly, ability to research and resolve issues and analyze data.
  • Ability to interact within and external to the organization with professionalism.
  • Ability to work independently and with a team.
  • Ability to add, subtract, multiply, divide all units of measure and to forecast and interpret data appropriately.
  • Excellent verbal and written communication skills with expertise in Microsoft Office Suite.
  • Must possess valid driver's license and driving record which is acceptable to the organization's insurance carrier.
