About the position

The Administrative Assistant position is a part-time role focused on supporting day-to-day operations and enhancing customer interactions for a B2B service provider in the forest products industry. The role involves a variety of administrative and clerical tasks, requiring strong organizational skills and a customer-oriented mindset. The successful candidate will have opportunities for professional development and training, contributing to the company's mission of safety training and compliance.

Responsibilities

  • Routine clerical duties like answering and directing phone calls, responding to emails, scheduling calls and appointments, sending letters, invoices, faxes, and collecting information on the phone.
  • Assist in the preparation of regularly scheduled reports.
  • Assist with and maintain a physical and electronic filing system.
  • Follow office policies and procedures.
  • Maintain contact lists.
  • Assist customers and maintain compliance with the requirements of the FMCSA Clearinghouse.
  • Assist with monitoring and maintaining records for FMCSA required drug and alcohol testing.
  • Become certified and conduct Drug and Alcohol testing specimen collection and properly handle chain of custody forms and reporting.

Requirements

  • Proven experience as an administrative assistant or office admin assistant.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment, like printers and fax machines.
  • Proficiency in MS Office (Word, Excel, and PowerPoint, in particular).
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multi-task.
  • High School diploma.

Nice-to-haves

  • Experience in sales and customer service.
  • Marketing - mail/email.
  • Social Media - management/marketing.
  • Familiarity with FMCSA rules and regulations.
  • Experience in training groups/seminars.
